Administration - Administrative Assistant (Cedar Rapids, IA)
  

Provides support to leadership, relieving them of as much day-to-day administrative duties as possible. Responsible for handling confidential and time sensitive information working with both internal and external personnel. Duties require excellent knowledge of GreatAmerica, and diplomacy and judgment in dealing with a wide range of situations.  Position requires the ability to anticipate problems, initiate appropriate action, and administer confidential information with discretion.

Essential Functions

  • Perform administrative duties requiring considerable judgment, initiative, and knowledge of GreatAmerica Financial Services.
  • Schedule appointments and meetings, internally and externally.
  • Assist with preparing/submitting expense reports.
  • Administrative assistance to Leaders including calendar and email management, as needed.
  • Provide support in organizing/documenting meeting notes.
  • Prepare and/or print slides and documents for various meetings and events.
  • As member of Administrative Team, provides administrative support to all areas of the company, as necessary.
  • Live the GreatAmerica principles; involved in cross functional team efforts as assigned and required.
  • Perform other duties, as required.

 

  • Corporate Marketing responsibilities
  • Administration and maintenance of Program Zone. Duties include quarterly audit of materials, adding new programs as designated and point of contact for Program Zone in Salesforce.
  • Salesforce/HubSpot data entry. Tasks include cleanup of tradeshow/conference leads; and importing into Salesforce and/or HubSpot; ongoing data cleanup/updates as assigned.
  • Tradeshows—assist BU admins with packing/shipping of items and returns.Maintain inventory of booths, quality assurance of equipment.
  • Responsible for updating Team Contact Sheets using InDesign.
  • Responsible for updating Team Rate Sheets using InDesign.
  • Responsible for updating basic information in promotional material, as directed.
  • Oversight of marketing-related supplies such as paper supplies.
  • Assist with printing/binding materials for Sales customer visits.
  • Assist with printing/binding annual reviews & other needed materials.
  • Process expense reports and payment for marketing-related expenses.

     

  • Collabrance
  • Schedule appointments, determining priorities and maintaining executive calendars.
  • Maintain Insight/Teams page for business unit(s).
  • Works with Strategic Marketing Director in planning efforts for various events including tradeshows, Collabrance-hosted training events both virtual and in-person, business unit reviews, and team events.
  • Process expense reports for leader and first-line approver for team expense reports.
  • Assist with PowerPoint development for various meetings, events.
  • Assist Account Managers with compiling marketing materials for customer trips, visits, table tents, binders, etc.

     

  • PathShare responsibilities
  • Assist with virtual and in-person event management including webinar registration, tracking participation, and set up.
  • Process expense reports for Pathshare leaders.
  • Assist with printing/binding materials for Pathshare customer visits.
  • Assist with invoicing for PathShare services.

Computer Skills: Proficient in Microsoft Office including Word, Excel, and Outlook.  Preferred knowledge of Microsoft Teams, Adobe Suite and Salesforce.
