Position Summary

Position Summary

 

Provides support to executive leadership, relieving them of as much day-to-day administrative duties as possible. Responsible for handling confidential and time sensitive information working with both internal and external personnel. Duties require excellent knowledge of GreatAmerica, diplomacy and judgment in dealing with a wide range of situations. Position requires the ability to anticipate problems, initiate appropriate action and administer confidential information with discretion.

 

Essential Functions

 

  • Performs administrative duties requiring considerable judgment, initiative, and knowledge of GreatAmerica (for the follow business unit: Specialty Divisions Group – which includes the HealthCare, Construction, Automotive and Direct Program divisions.
  • Schedules appointments, determining priorities and maintaining executive calendars.
  • Interfaces with all levels of internal and external personnel requiring explanation, discussion and obtaining approvals.
  • Maintain Insight page for business units
  • Business owner for corporate dealer gift website
  • Prepares business card orders company-wide
  • Responsible for coordinating chair massages (registration, cancellations, reminders)
  • Update display systems for visits & other communication
  • Leads planning efforts for various events
  • Business Unit specific duties include:
  • Event/Tradeshow management – working with marketing directors to process contracts, payment as well as show logistics, shipping, etc.
  • Vendor Marketing requests – assist sales reps in compiling marketing materials for trips, etc.
  • Process expense reports for all reps/leadership
  • Create/publish rate cards and act as subject matter expert
  • Assist with marketing campaign logistics
  • Organize staff meetings and quarterly business unit meetings
  • As member of Administrative team, provides administrative support to all areas of the company as necessary.
  • Lives the GreatAmerica principles; involved in cross functional team efforts as assigned and required.
  • Performs other duties as required.
Position Qualifications

Position Qualifications

Working knowledge of Microsoft Office; Adobe Creative Suites; SharePoint. Prior experience with travel and event management as well as working with off-site/remote team members.

Other Requirements: Position requires administering company sensitive/confidential and proprietary information with the utmost discretion. Ability to effectively and diplomatically communicate verbally and in writing is required.  Must be able to establish and maintain professional working relationships with all levels of GreatAmerica personnel and external contacts. Requires extensive knowledge, utilization, and proficiency in a variety of software packages.
